For purposes of POPIA, SAFW is the responsible party where we determine why and how personal information is processed. South African Fashion Week is operated by Runway Productions in Johannesburg, South Africa.

General privacy enquiries and requests may be sent to info@safashionweek.co.za.

This Policy applies when you visit www.safashionweek.co.za or an SAFW-managed digital property, subscribe to SAFW communications, register or apply for an SAFW programme or competition, request media accreditation, attend an SAFW event, interact with SAFW as a designer, buyer, sponsor, supplier, institution, media representative, guest or partner, or otherwise provide personal information to SAFW.

Where a specific competition, application, ticketing service, partnership, designer package or event has additional privacy terms, those terms should be read together with this Policy.

·  Identity and contact information, including your name, surname, email address, telephone number, address and identification details where reasonably required.

·  Professional and business information, including your company, label, media house, institution, job title, biography, portfolio information, website and social media details.

·  Event and accreditation information, including registration details, ticketing information, guest-list information, attendance records, media accreditation details and access requirements.

·  Designer and competition information, including applications, submissions, lookbooks, portfolios, photographs, videos, biographies, judging information and related correspondence.

·  Partner and supplier information, including business contact details, contractual information, invoicing details and records needed to administer a relationship with SAFW.

·  Transaction and administrative information, including payment confirmations, billing details and financial records where SAFW needs them to administer packages, partnerships or other services. SAFW does not need to retain full payment-card details where payment is processed by an independent payment or ticketing provider.

·  Digital and device information, including IP address, browser or device information, pages viewed, referral information, cookie identifiers and website or newsletter engagement data.

·  Image, audio and video information created at SAFW events, castings, fittings, interviews, activations and other SAFW activities.

·  Correspondence and enquiry information that you provide when you contact or communicate with SAFW.

We collect personal information directly from you, automatically through our website and digital tools, and in appropriate circumstances from third parties such as ticketing platforms, event partners, educational institutions, agencies, designers, sponsors, media organisations or service providers. We may also use information that has been made publicly available where it is lawful and relevant to an SAFW purpose.

Depending on the context, SAFW may process personal information with your consent, to enter into or perform an agreement, to comply with a legal obligation, to protect a legitimate interest of you or another person, or where processing is necessary to pursue a legitimate interest of SAFW or a third party and is permitted by POPIA.

We may process personal information to:

·  administer SAFW events, collections, trade activities, guest lists, media accreditation, competitions, designer programmes and related operational activities;

·  assess and process applications, entries, portfolios, registrations and requests;

·  communicate programmes, schedules, invitations, media releases, operational notices and other information relevant to your relationship with SAFW;

·  manage designers, buyers, media, sponsors, partners, institutions, suppliers and other industry relationships;

·  administer payments, invoicing, contracts, reporting and record-keeping;

·  publish or distribute authorised editorial, runway, designer, media and event content;

·  operate, secure, analyse and improve our website, newsletters, digital platforms and audience experience;

·  protect SAFW, its community, systems, events and legal rights, and prevent misuse, fraud or security incidents;

·  comply with applicable legal, regulatory, tax, accounting or reporting obligations.

SAFW may send news, programme updates, invitations or marketing communications where permitted by law. Where POPIA requires consent for unsolicited electronic direct marketing, SAFW will seek the required consent before sending such communications, subject to any lawful existing-customer exception.

You may unsubscribe or object to direct marketing at any time by using the unsubscribe mechanism in the communication or by contacting info@safashionweek.co.za. A request to stop marketing does not prevent SAFW from sending necessary operational, contractual, safety or administrative communications.

SAFW is a public-facing fashion and industry platform and photography, video, audio recordings and media coverage are a normal part of many SAFW events and activities. SAFW may create and use such material for legitimate event documentation, editorial, archival, reporting, publicity and promotional purposes where permitted by law.

Where a particular activity requires specific consent or has additional usage terms, SAFW will use an appropriate consent, release, signage, accreditation term or programme-specific notice. If you have a reasonable privacy concern relating to identifiable event content, you may contact SAFW at info@safashionweek.co.za.

Our website and digital services may use essential, functional, analytics and, where configured, marketing technologies such as cookies, pixels or similar tools. These technologies can help the website function, remember preferences, understand traffic and engagement, measure communications and improve content.

Our website platform and embedded third-party services may place their own cookies or similar technologies. You can manage cookies through the cookie controls made available on the website, where applicable, and through your browser settings. Blocking some cookies may affect website functionality.

SAFW may share personal information only where reasonably necessary and lawful, including with:

·  service providers and operators that support website hosting, email, analytics, ticketing, accreditation, event production, photography, videography, IT, professional advice, payment administration or other SAFW operations;

·  event, programme, media, education or commercial partners where sharing is necessary for the activity you are participating in or where another lawful basis applies;

·  professional advisers, auditors, insurers and legal representatives;

·  regulators, courts, law-enforcement agencies or other authorities where disclosure is required or permitted by law;

·  a successor or reorganised entity if SAFW or its operating business undergoes a lawful restructuring, transfer or similar transaction.

SAFW does not sell or rent personal information as a data-brokerage activity.

Where a service provider processes personal information on SAFW’s behalf, SAFW will take reasonable steps to use providers that can implement appropriate security and confidentiality measures and to regulate the processing relationship where required by POPIA.

Some SAFW service providers, media platforms, cloud services, partners or recipients may be located outside South Africa. Where personal information is transferred across borders, SAFW will take reasonable steps to ensure that the transfer is permitted by POPIA, including by relying on appropriate legal protections, contractual safeguards, consent where applicable, or another lawful basis.

SAFW uses reasonable and appropriate technical and organisational safeguards designed to protect personal information against loss, unauthorised access, interference, misuse, alteration or destruction. No internet-based or electronic system can be guaranteed to be completely secure.

If SAFW has reasonable grounds to believe that personal information has been accessed or acquired by an unauthorised person, SAFW will follow the notification and response requirements applicable under POPIA, including notifying the Information Regulator and affected data subjects as required.

SAFW retains personal information only for as long as reasonably necessary for the purpose for which it was collected, for a compatible lawful purpose, or for a period required or permitted by law, contract, tax, accounting, dispute-resolution, archival or legitimate operational needs. When information is no longer required, SAFW will take reasonable steps to delete, destroy, de-identify or securely archive it as appropriate.

Subject to POPIA and any lawful limitations, you may have the right to:

·  ask whether SAFW holds personal information about you and request access to it;

·  request correction, updating or deletion of inaccurate, excessive, irrelevant, outdated, incomplete, misleading or unlawfully obtained personal information;

·  object, on reasonable grounds and where permitted, to certain processing of your personal information;

·  withdraw consent where processing is based on consent, without affecting processing that was lawful before the withdrawal;

·  object to direct marketing and unsubscribe from electronic marketing communications;

·  lodge a complaint with the Information Regulator if you believe your personal information has been processed unlawfully.

SAFW may need to verify your identity before actioning a request and may retain information where deletion is not legally or operationally permissible.

The SAFW website is not primarily directed at children. Where SAFW knowingly processes personal information relating to a child as defined by POPIA, for example in connection with an eligible student or youth activity, SAFW will do so only where permitted by law and will obtain the consent or authorisation of a competent person where required.

The SAFW website may link to or embed third-party websites and services, including social media, video, ticketing, payment or partner platforms. Those third parties process personal information under their own privacy notices and terms. SAFW is not responsible for the privacy practices of independent third parties.

SAFW may update this Privacy Policy from time to time to reflect legal, operational or technological changes. The current version will be published on the SAFW website and will show its effective date. Material changes may also be communicated through an appropriate channel where reasonably necessary.
